Meteor Education - Corporate Retreat
OBJECTIVES
Meteor Education hosted their biennial company retreat in Wesley Chapel, Florida, and needed a dependable, creative AV partner to support a seamless multi-day experience. Their goal was to create an environment that could shift effortlessly between corporate programming, immersive themed moments, and high-energy celebrations, all while supporting their team’s workflow and vision.
CHALLENGES
Meteor Education faced three primary challenges in producing this retreat.
A versatile meeting space: They required a design that could quickly transform from a polished corporate meeting to a Renaissance-themed DJ party and finally an awards gala, without disrupting the flow of the event.
A custom LED wall experience: The team needed a large, tailored LED wall canvas capable of elevating brand storytelling and fully immersing attendees into each segment’s unique theme.
Low ceiling height: The venue’s ceiling limitations required careful planning to ensure lighting, audio, and video elements could be deployed effectively without compromising quality, impact, or safety.
SOLUTIONS
To meet Meteor Education’s goals, our team delivered a high-performance, adaptable AV package designed for clarity, creativity, and smooth transitions.
Audio Excellence for Every Moment: We deployed 2 EAW AC6 loudspeakers paired with 2 Otto subs to deliver articulate coverage for presentations and a full-bodied mix for the DJ party and gala. Presenters used DPA 4080 lapel mics and 4266 headset mics for natural, consistent vocal reproduction.
Immersive Lighting + Theme Integration: The lighting rig featured 10 Ayrton Diablos, 8 ADJ Encore LB15IP fixtures, and 8 Beam Wash units, with all selected to provide flexibility within low ceilings while still offering dynamic looks for each segment of the retreat.
Custom 4.5K LED Wall Backdrop: We installed 168 LED wall panels across a custom, ultra-wide 4.5K canvas powered by a Blackmagic Design Constellation and Pixelhue P20, complemented by two 16K projectors for additional content needs. This setup allowed Meteor Education to deliver stunning visuals, branded storytelling, and theme-driven atmosphere changes with ease.
Breakout Room Support: Four breakout rooms were fully equipped to ensure department teams could dive deeply into planning sessions without technical interruptions.
RESULTS
Meteor Education’s retreat ran flawlessly, with smooth transitions between every segment of the event.
The custom LED canvas created an immersive visual experience that elevated keynotes, branding, and the themed DJ party. The audio system delivered consistent clarity across all programming, keeping attendees fully engaged.
The lighting design transformed the venue despite its low ceilings, helping each portion of the event feel distinct and memorable. Staff and attendees praised the seamless flow, allowing the Meteor Education team to stay focused on content and connection—not technical details.
